BRIEF JOB DESCRIPTION

Reporting to the Department Head, the incumbent will be responsible for providing administrative support for our Ocean Marine Expertise Centre (OMEC). He will have to ensure document maintenance, data recording, report production and logistics related to the OMEC's mandates.

 

RESPONSIBILITIES

Administrative support

  • Produce, analyze, structure, revise, correct and format various documents such as letters, notes, presentations, reports, external communications or others according to Ocean Group's graphic standards;
  • Send and follow up on revision and translation requests;
  • Ensure that reference, training, evaluation and other documents are kept up to date;
  • Develop and maintain policies and procedures related to the OMEC mandate;
  • Record, write and keep minutes of meetings;
  • Carry out document management for OMEC and SMO on the network and in the associated files;
  • Populate and maintain certain databases such as IIS, SINEX and SAP with certification data, training and operational information;
  • Produce charts, registers and indicators incorporating data for statistical purposes;
  • Manage invoices related to OMEC mandates;
  • Produce documentation related to the 1% law for each division in the technical field;
  • Complete purchase requisitions for supplies for OMEC's needs.

Coordination and logistics

  • Support the various stakeholders in the planning of external and internal training;
  • Make travel reservations (accommodation, air/train/auto, etc.);
  • Ensure logistics during the organization of meetings (order meals, reserve the room, etc.);
  • Welcome participants to in-house training sessions;
  • Prepare the training rooms and materials when required;
  • Perform logistics for participants attending external training sessions;
  • Participate and support the activities provided for in the health, safety and environment management system.

 

REQUIREMENTS

  • High school diploma or vocational degree in a relevant field;
  • Minimum of three (3) years experience in a similar position;
  • Excellent oral and written skills in French and English;
  • Excellent command of the Microsoft Office Suite;
  • Autonomy, thoroughness and commitment to excellence;
  • Sense of organization and priorities;
  • Communication skills and team spirit.
